How client notes are kept
This notice explains how Keen Passagefield Financial Planning Co., Ltd. handles personal information when you write to us, book an annual financial checkup, or sit for goal tracking and related appointments. It was last revised on 20 September 2026. Cookie storage is described on the cookies page.

What we collect
From the website form we collect your name, email address, the appointment you ask about, the place, the language, an optional preferred date, and the message you write. From an appointment we collect the household papers you choose to bring: income notes, loan booklets, fee lists, and the goals you want named. We write a goal sheet and, where the appointment includes one, a letter. We also keep a record of fees, deposits, and refunds.
Please keep national identification numbers and full bank account numbers out of email and out of the website form. If a refund requires an account number, we ask for it only at that moment, by telephone or in person, and we use it only to return the money.
Why we use it
We use the information to answer you, to prepare the appointment, to write the sheet and the letter, to take the fee, and to handle a cancellation. We also keep records so we can correct a letter if a season or a figure was misstated. We use the contact details to reply within the two working days we promise, and to send the letter.
Legal bases
The appointment itself is a contract: preparing it and keeping the working papers are necessary for that contract. Replies to people who have not yet booked are a step you ask us to take. The consent choice about optional storage in your browser is explained on the cookies page and stays on your device. Where Thai law requires a record of a payment, we keep that record to meet the legal duty.
How long we keep it
Working papers, goal sheets, and letters are kept for seven years after the last appointment with the household, then destroyed or returned if you ask for the return before that and the law allows it. Messages that never become an appointment are kept for twenty-four months. Payment records are kept for the period Thai accounting rules require. The accept or reject choice in the browser is not sent to our office.
Who else sees it
Household papers stay with the planners who sit the appointment, Pimchanok Rattanakul and, when he is in the room, Farid Mahamad. We speak to your accountant, broker, or lawyer only when you ask us to. Client lists are kept for the practice's own appointments. A bank sees the transfer you send, under its own terms.
International transfers
Paper files in the locked cabinet remain at the office in Thailand. The website host and the email mailbox may store messages on servers outside Thailand. If you email a document, that message may pass through those servers. That is one reason we ask you to leave identification numbers and full account numbers out of email. Where a transfer outside Thailand needs a safeguard under the Personal Data Protection Act B.E. 2562, we rely on the host's contractual terms and we limit what we ask you to send.
Your rights
Under Thai personal-data law you may ask to see the notes we hold, to correct a figure, to erase notes when the law allows, to restrict how we use them, and to object to a use that is not required for the appointment. You may also complain to the Personal Data Protection Committee of Thailand. To use these rights, email info@keen-passagefield.click or write to Tambon Waeng, Amphoe Waeng, Narathiwat 96160. We will answer within thirty days, or tell you if a legal duty requires us to keep a payment record.
Security
Paper copies are kept in a locked cabinet in the office. Electronic copies of letters sit on an office computer that stays closed when the room is empty. The website form collects the appointment request. Account numbers stay out of it.
Children
Appointments are with adults. A parent may talk about a son or daughter's school fees without that child attending or giving us a contact address. The website form is for the adult who is writing. We ask that you not send a child's identification number or a child's email address through the form.
